Throughout your engagement with us, we will request comprehensive personal information about your current circumstances, financial status, and, in certain instances, details regarding your health and your family's health history (collectively referred to as Your Personal Data). The basis on which our firm will deal with your personal data
When discussing your finance needs, both parties are entering a contract for services. To fulfil this agreement and arrange the products you request, we may use your Personal Data as detailed below. We can also use your Personal Data during initial discussions or after our contract ends if it serves our legitimate business interests and does not affect your rights, for example, to respond to lender or solicitor requests, or to seek your feedback. Additionally, we may process your Personal Data to meet regulatory or legal obligations, including requirements from the Financial Conduct Authority.
How we collect your personal data
We collect your personal data primarily from you, usually during our initial meetings or conversations to understand your financial situation, needs, and preferences. Information may be provided verbally or in writing, including email, and we may also gather details from third parties, such as credit checks, your employer, and public records like the voters roll. If technology is used to verify your credit status, we'll obtain your consent before accessing this information. For electronic ID checks, your consent is not required, but we will inform you how the software works and its purpose.
What happens to your personal data when it is disclosed to us
In the course of handling Your Personal Data:
- We record and store your personal data in paper files, mobile devices, and computer systems (including email, hard drives, and cloud storage). Only employees and consultants of our firm can access this information when needed to provide services or handle related administrative tasks.
- We submit your data to product providers, mortgage lenders, and commercial lenders in secure paper or online formats. Sharing this data is necessary to process your inquiries or applications, and to address any questions or administrative matters raised by lenders or providers.
- We use your personal data to answer any questions regarding finance products you take out or to notify you about relevant updates concerning those products.

Investment providers, mortgage lenders, finance lenders, commercial lenders, and insurance providers may be involved. We may also share your enquiry or application with third parties who can help address your needs, including but not limited to our compliance advisers, product specialists, estate agents, and providers of legal services such as estate planners, conveyancers, surveyors, and valuers—if we believe your circumstances require their involvement.
In each case, your Personal Data will only be shared for the purposes set out in this customer privacy notice, i.e. to progress your finance enquiry and to provide you with our professional services.
Please note that this sharing of your Personal Data does not entitle such third parties to send you marketing or promotional messages: it is shared to ensure we can adequately fulfil our responsibilities to you, and as otherwise set out in this Customer Privacy Notice. Your Personal Data will not be transferred outside of the European Economic Area as a result of any of our activities.
Security and retention of your personal data
We value your privacy and will protect your Personal Data as required by law. We take reasonable measures to prevent unauthorized access, and ask you to take precautions when transferring information, such as avoiding unprotected email, password-protecting attachments, and using secure postage for original documents.
Your Personal Data will be stored electronically or in paper form for at least six years; if we have a legal right to keep it, records may be retained indefinitely.
